Position Title: Customer Service / Office Administrator

The Opportunity (in Port Credit, Mississauga):
We have a current need for an enthusiastic, experienced and highly capable “Customer Service/Office Administrator” in Port Credit, Mississauga. This position will be responsible for supporting the General Manager and the Filamat team in delivering outstanding customer service and managing the general office functions.

Key Responsibilities include, but are not limited to:

Customer Service

  • Responsible for the accurate and timely communication between Filamat and its customers.
  • Manage the Quotation process.
  • Answer general product questions and direct customers to appropriate personnel.
  • Process incoming customers’ orders and provide status updates on existing orders.
  • Communicate order status with Customers and Operations.
  • Manage and update Customer Profiles and Price Lists.
  • Generate shipping and customs documents, coordinating releases with shipping.
  • Maintain Open Orders List, with their required ship dates and commit dates.
  • Track key customer service performance indicators as developed with the General Manager.
  • Establish and maintain customer service and order processing procedures to ensure consistently high levels of service and product delivery.

General Office Administration:

  • Reception (answer telephones, direct calls, greet and welcome visitors).
  • Develop and maintain current and effective procedures for customer and office activities.
  • Maintain office supplies and services.
  • Manage the telephone, voice mail systems and security system..
  • Provides administrative and clerical support to the General Manager and other Filamat staff as required.
  • Provides back-up services to Purchasing, Accounting and/or other departments when required..

Essential Skills and Qualifications:

  • Excellent and accurate keyboarding and computer skills in MS Word, Excel and Outlook;
  • Experience in an ERP environment is preferred; knowledge of “Visual Manufacturing” system will be a distinct advantage;
  • Experience and proficiency in general office administration procedures;
  • Excellent listening, reading, writing and oral English Skills;
  • Proficiency in performing arithmetic calculations;
  • Solid record-keeping skills and attention to detail;
  • Self-managing, organized, able to plan and establish priorities and manage completion of multiple tasks;
  • Ability to interact effectively with all levels of management, co-workers, clientele and the public.

Education and Experience:

  • Degree from a recognized post-secondary institution, preferably in a business-related discipline, or equivalent education and experience;
  • Formal training in above-noted computer applications preferred;
  • Minimum five years’ experience in a similar customer service and office administration functions, backed up by solid employment references.
